# Get Started

Quick guide on getting started with managing your jobs at Golden News Job Management System.

# Creating Account

## Steps to create an account

1. Navigate to the [Create Account page](https://job.goldennews.com.hk/create-account).
2. Enter an organization ID. (If you are our enterprise customer, ask your IT admin or email us at <info@goldennews.com.hk> to obtain your organization ID)
3. Enter your display name. (This name is visible to your organization)
4. Enter your login email
5. Enter your password
6. Click Register


# Create Jobs

Learn how to create and dispatch a job to your staff.

Every job is about doing something at a place; therefore, every job requires two main ingredients: location (where) and job type (what).&#x20;

Navigate to the job list page, click New Job and you will have two options to create jobs, [create a single job](/essentials/create-jobs#steps-to-create-a-job) or create multiple jobs

### Create a single job

Let's dive in one by one. Most of the inputs are options but it helps you better manage your jobs.

### Create Multiple Jobs

Similar to create a single job, the Create Multiple Jobs view has a spreadsheet view, allowing basic spreadsheet functionality like copy and past, expand selection and etc.&#x20;

This functionality is best for when assigning jobs for multiple people.


# Get Notified for New Jobs

## Push Notification

The default method for users to be notified. When users install the web application on their devices (PC, tablets, mobile phones, etc), they will be prompted to accept notification requests.

## Phone Notification

Available to enterprise customers. If users click Enable Phone Notification at [Create a Single Job](/essentials/create-jobs#create-a-single-job), system would make an automatic phone call to the users based on the provided telephone number on the User page.&#x20;


# View and Edit Jobs

## Navigating to the Job List

**Accessing the Job List**

* Open the Job Management System and navigate to the **Job List** page, which displays all available jobs.
* **Job List Overview**
  * **Filters**: Use the filters at the top to narrow down the job list based on date, location, staff, category, and request type.
  * **Job Entries**: Each job entry provides essential details such as the job ID, type, scheduled date, and assigned staff.
  * **Status Indicators**: The status of each job is indicated (e.g., 待確認).

## View Jobs

1. **Job Information Section**
   * **Job ID**: Displays the unique identifier of the job (e.g., 0101 房).
   * **Priority**: Shows the priority level assigned to the job (e.g., 無).
   * **Job Type**: Indicates the type of job (e.g., 做房).
   * **Customer Designated Time**: Displays the time specified by the customer (if any).
   * **Scheduled Job Date**: Shows the scheduled date for the job (e.g., 2024-08-01).
2. **Timeline Section**
   * **Pending Confirmation**: Shows the timestamp of when the job was created and indicates that it's awaiting confirmation (e.g., 2024-08-01 11:00:01).
   * **New Job**: Displays the timestamp of when the job was last modified (e.g., 2024-08-01 11:00:00).
3. **Personnel Information Section**
   * **Assigned Staff**: Lists the staff responsible for the job (e.g., Supervisor).
   * **Contact Person**: Indicates the person to contact regarding the job (e.g., Larry To).

## Edit Jobs Detail

To edit the details of a job:

1. **Access the Edit Panel**
   * Click on the job you wish to edit from the job list. Click on the Job Detail button on the upper right corner of the page. The edit panel will appear on the right side of the screen.
2. **Modify Job Details**
   * You can modify all the fields you need.
   * You can see the detail for each field [here](/essentials/create-jobs#create-a-single-job).
3. **Save Changes**
   * After making the necessary edits, click the **保存 (Save)** button to save the changes.
   * If you decide not to save the changes, click the **取消 (Cancel)** button.


# Update Job Status

## Job Statuses

<table><thead><tr><th width="325">Status</th><th>Meaning</th></tr></thead><tbody><tr><td>New Job</td><td>A job that has been recently created and added to the system.</td></tr><tr><td>Awaiting Assignment</td><td>A job that has been created but not yet assigned to any staff member.</td></tr><tr><td>Awaiting Confirmation</td><td>A job that needs to be confirmed by the assigned staff or supervisor.</td></tr><tr><td>Not Started</td><td>A job that has been assigned but work has not yet begun.</td></tr><tr><td>In Progress</td><td>A job that is currently being worked on by the assigned staff.</td></tr><tr><td>Temporarily Suspended</td><td>A job that has been temporarily paused or put on hold.</td></tr><tr><td>Awaiting Inspection</td><td>A job that has been completed but is awaiting inspection for quality check.</td></tr><tr><td>Awaiting Approval</td><td>A job that needs approval from a supervisor or manager before proceeding to next status.</td></tr><tr><td>Completed</td><td>A job that has been fully completed and all tasks are finished.</td></tr><tr><td>Cancelled</td><td>A job that has been cancelled and will not be completed.</td></tr><tr><td>Transferred</td><td>A job that has been transferred to another staff member or department.</td></tr></tbody></table>

## Update Status

1. Navigate to the Job List page
2. Find the target job and navigate to Job Detail page
3. Locate the update status button at the upper right corner of the screen. (It will have a colored background)

## Pause Job

Some tasks might not be done immediately. To communicate with other staff effectively about this situation, assignee can click Pause Job to notify other about the job status. The button is located next to Job Detail button (Also located at the upper right corner of the Job Detail page).&#x20;

## Transfer Job

Sometimes assignees might be busy with other jobs. To prevent a job being held for too long, users can transfer the job to other available staff.&#x20;

1. Locate the view more button (3 vertical dot icon button) at the upper right corner of the Job Detail page.
2. Select the transfer job option and the screen will display a dialog screen.
3. Select a staff that you would like to transfer the job to.
4. You can optionally select alert by Phone Notification (Learn more at [Get Notified for New Jobs](/essentials/get-notified-for-new-jobs#phone-notification))
5. The person you selected will be notified by push notification, and phone notification if previously selected.&#x20;

# Escalation

Job Management System constantly monitors all the statuses of every single job, so you can focus on your task on-hand. You get a notification when a job does not meet or pass a specified status on time.

### Get Started

Before receiving the alerts, decide appropriate time limits and statuses for alert for each job types.&#x20;

1. Navigate to the [Escalation Page](https://job.goldennews.com.hk/type-list?t=%E6%8F%90%E9%86%92) (Go to **Job Type > Escalation**),&#x20;
2. Create a New Escalation (Click the **New** button)
3. Enter Escalation Details
   1. **Job types**: Select the job types you want to include in this escalation. (You can select multiple job types if they follow the same escalation workflow.)
   2. **Notified person(s)**: Choose the person or people who should receive the escalation notifications. (Multiple selections are allowed.)
   3. **Status**:  Select the status that will trigger an alert if the job does not reach this status within the specified time limit.
   4. **Time limit**: Set the time limit after which the alert should be sent if the status condition is not met.
4. Save the Escalation (Click **Add** at the bottom right of the screen.)

### Get notified

You don't have to do anything for escalation. Once a job is created, its status will be monitored against the escalation criteria you've just set. If the job type matches one in the escalation list and does not meet the specified status within the time limit, an alert will be sent out.
